Without a centralized dashboard, rental operators waste time tracking down information that should be instantly available. Here's what agencies deal with every day.
Scattered Fleet Information
Which cars are on rent? Which are sitting idle? Without a single view, managers call branch staff, check spreadsheets, or log into multiple screens just to understand what's happening right now. Every minute spent searching is a minute not spent serving customers.
Overdue Units Go Unnoticed
Late returns cost money — lost rental days, delayed reservations, and unhappy customers waiting for vehicles that haven't come back. Without real-time overdue alerts, agencies often don't realize a unit is late until the next customer arrives and the car isn't there.
Overbookings Cause Chaos
When reservations outnumber available vehicles, the result is angry customers and lost revenue. Without automatic overbooking detection, your team discovers the problem only when a customer shows up and there's no car to give them.
From Login to Full Fleet Visibility in Seconds
The dashboard is the first screen you see when you log in. Every metric updates automatically — no refreshing, no switching screens.
Select Your Branch
If you operate multiple locations, pick the branch you want to monitor. The dashboard instantly shows today's real-time data for that branch — units, reservations, and alerts.
See Every Unit Status at a Glance
Nine status tiles show you exactly how many units are on rent, sitting, locked, overbooked, returning, and overdue — plus pending, confirmed, and no-show reservations. Click any tile to drill into the details.
Drill Into Any Category
Click "Units on Rent" to see every rented vehicle with its contract link. Click "Units Sitting" to open a color-coded calendar for each idle unit. Every tile opens a detailed view with actionable information.
Act on Issues Immediately
Spot an overdue unit? Click through to the contract. See an overbooking alert? Open the reservation to reassign. The dashboard doesn't just inform — it connects you directly to the screens where you take action.
Nine Real-Time Metrics That Run Your Day
Each tile on the dashboard is a window into a critical area of your rental operation. Click any tile to see the full details behind the number.
Units on Rent
View every vehicle currently rented out — including unit number, contract number with a direct link, vehicle model, color, plate, and vehicle class. A graphic below shows units on rent by vehicle class for the branch.
Units Sitting
See all vehicles not currently on rent. Click any unit to open a color-coded calendar showing contracts, locked reservations, and relocations over three months — plus a usage percentage graphic and past contract history.
Units Locked
View reservations with a specific vehicle locked to them, showing the reservation number, customer name, unit number, full VIN, pickup and drop-off locations, and dates. Click the reservation number for full details.
Units Overbooked
Instantly see when confirmed reservations exceed available units. The system flags the latest-pickup-date reservation and shows the customer name, vehicle class, and locations. Overbooking alerts clear automatically when cancellations or new units resolve the conflict.
Units Returning
Track which vehicles are expected back today and their return times. Click the contract number to jump directly to the full contract page and prepare for the check-in.
Units Overdue
See vehicles that have not been returned by their due date. The list includes the contract number and unit number, giving your team the information they need to follow up immediately.
Reservations Pending
View today's reservations that are still awaiting confirmation. This gives your team a clear action list to follow up on and convert pending reservations before customers arrive.
Reservations Confirmed
See all confirmed reservations for today at a glance, so your counter staff knows exactly how many customers to expect and which vehicles need to be ready.
Reservations No-Show
Track today's no-show reservations — customers who had a confirmed booking but did not pick up. This helps your team reallocate vehicles quickly and identify patterns over time.
Everything You Need to Run Today's Operations
The dashboard is the command center for your rental agency. Every number you see represents live data from your branch — updated automatically every minute — so you always know the current state of your fleet and reservations.
If you manage multiple branches, simply switch between them to see each location's real-time status. No phone calls, no spreadsheets, no guesswork.

Frequently Asked Questions
Everything rental agency owners ask about the Car Rental Solutions dashboard.
How often does the dashboard update?
The dashboard refreshes automatically every minute, giving you a near real-time view of your fleet status, reservations, and branch activity without needing to reload the page.
Can I see data for multiple branches?
Yes. If you operate multiple branches, you can switch between them to see real-time data for the selected branch. Each branch displays its own units on rent, sitting, locked, returning, overdue, and reservation counts for today.
What does "Units Sitting" show?
Units Sitting displays all vehicles not currently on rent. Clicking a unit opens a color-coded calendar view showing open and closed contracts, pre-assigned and locked reservations, and branch relocations over the past, current, and next month. It also displays a usage percentage graphic and a list of past contracts for that unit.
How does overbooking detection work?
When a user with permission creates a reservation for a vehicle class with no availability, it stays in pending status. If the status is changed to confirmed and no units are available, the dashboard flags it as an overbook. The system selects which reservation to flag based on the latest pickup date. When a cancellation occurs or new units are added, the overbook alert disappears automatically.
Can customers overbook on the website?
No. When the availability check setting is enabled, the website displays that the vehicle class is unavailable and prevents the customer from completing the reservation. Overbooking can only occur through internal users with the appropriate permission level.
What information do I see when I click Units on Rent?
Clicking Units on Rent displays a listing of all rented units including the unit number, contract number (with a link to the open contract), vehicle model, color, license plate, and vehicle class. Below the list, a graphic shows units on rent by vehicle class for the branch.
