Account, Users & Locations

Change your password

  1. In the blue top bar, click your name (top-right corner).
  2. Select User ProfileChange Password.

Update company information

Edit your address, phone, reservation email, website contact details, and branch hours.

Add or manage users

Create logins and assign roles. Each user gets their own credentials and permissions.

Create or edit roles

A role is a reusable permission set. Assign one role to many users to speed up onboarding.

Tip: Your administrator account already includes a default role with all permissions.

Add or edit pickup and drop-off locations

Enable, disable, or add locations. Active locations appear on the reservation form.

Vehicles & Pricing

Add or update vehicle classes & images

Add vehicles, upload images, write descriptions, or disable or delete a class.

Images: Upload PNG or JPEG only. Convert AVIF or WEBP files first — use TinyPNG (free).
Upfront Fuel: Enter the tank capacity here if you want to sell prepaid fuel on your site.

Set prices — Simple Pricing (recommended)

One base price list for your whole fleet. Adjust all vehicle classes by the same percentage across up to nine daily dependencies — changes take seconds. Learn more →

Set prices — Rate Chart

Set individual Day / Week / Month rates per vehicle class. Skip weekly or monthly columns if you only use daily rates.

Set up tier pricing (discounts for longer rentals)

Define duration ranges and assign a lower daily rate for each. Longer rentals get better rates automatically.

Simple Pricing users: Enter a percentage in the Tiers screen — rates calculate automatically.

Add or remove extras

Add seasonal rates

  1. Create a new season and give it a name.
  2. Set start and end dates, times, and applicable locations. Save.
  3. Go to $Prices (Rate Chart) to set rates — or adjust by percentage in Simple Pricing.

Fleet & Rental Rules

Add or update units

Link individual vehicles to a class. Units are required to print contracts and to enable real-time availability checks.

Enable real-time availability (prevent overbooking)

  1. Make sure units are added to the vehicle class (see Units above).
  2. Open the class and switch on Enable Availability.
How it works: The system checks open contracts, return dates, and confirmed reservations in real time to block overbooked dates.

Contracts, Miles & Fuel

Edit contract text

Customize terms, liability clauses, and other legal text on your rental agreements.

Legal review recommended: Have your legal team approve any changes before publishing.

Charge for extra miles and fuel

Don't forget: Set the tank capacity in Vehicle Classes so fuel charges calculate correctly.

Renters & Coupons

Manage renters

Search existing customer records before creating a contract. If a customer is not listed, create a new record. Saved driver info speeds up repeat bookings.

Create discount coupons

Set a discount amount or percentage, valid dates, and optionally limit by vehicle class, rate, or season. Share the code with customers for promotions.

Affiliates & Rate Codes

Add an affiliate or partner website

Register a partner and assign them a rate code to track referral bookings. Set custom rates or discounts per affiliate. Learn more →

Create a rate code

  1. Click Add New Rate Code.
  2. Enter a unique code name — e.g., WEEKLY10 or SUMMERPROMO.
  3. Set valid dates, applicable vehicle classes, and the discount or surcharge.
  4. Optionally link to an affiliate, age group, or location. Save.

Website Content

Edit the FAQ page

  1. Open the Website Content Manager.
  2. On the right side, open the folder for the language you want to edit.
  3. Click the pencil icon next to the FAQ file.

Edit the home page

  1. Open the Website Content Manager.
  2. Select the language folder (e.g., English).
  3. Click the pencil icon next to the default file.
