Credit Card Acceptance on your website

You can accept credit card information in your website. All you need is an SSL certificate that we can provide for you and install, also a dedicated IP in your website for an additional cost. An SSL certificate will allow credit card information to be sent securely over the internet . When a customer fills out reservation information, the system will send an email to your reservation agency with credit card number masked (i.e. XXX XXX XXX 8363). To view the full credit card number you have to log on to the Control Panel, which is also secured by SSL encryption. You can make your reservation page mandatory to input credit card info if you desire.

Multi-language support

Why settle with one language when you can use many? Our unique system lets you offer your services to more potential customers from all over the world. By making your website available to a broader audience, you can aim previously unexplored markets. More exposure for your website means more profits for you!

Pick-up and drop-off locations

It doesn’t matter whether your business is a small entrepreneur company or a world-wide corporation; our flexible design lets your company grow as it needs too. You can, for example, start with just a couple of locations and later on, as your business grows, add more pick-up and drop-off options, and even group them by different geographical regions. This way, you can offer your valued customers a better service.

Branches

Creates as many branches as you need with specific Time Zone.

Business hours

Every location has individual control of business hours, which allows you to specify when they open and when they close, on a day-by-day basis.

Location restrictions

Every pick-up location lets you specify which locations are allowed for dropping-off vehicles and which are not.

High-seasons and low-seasons

Most business owners know that demand has a direct effect on prices. Furthermore, most rent-a-car owners also know that demand in the travel industry isn’t near as stable as they would like it to be; while sometimes high-demand allows for better profits, other times it pays off lowering rates and being more competitive. Unfortunately if you change your rates way too early or way to late, you can lose business in either of these cases. Rather than remembering to change your rates right at the season break, we let you schedule the rate calendar for your whole fleet in advance, and leave the remembering part to us. Our season system works in a set-and-go basis, which means you enter your rates once, and from then on our system picks the best rate automatically, based on the rental period. The daily rate for the economy car is so much today, but doubles around spring break or Christmas? No problem. You can create as many seasons as you want and, of course, you can alter their rates as often as you want too. With our system, you can be sure your company remains profitable and competitive.

Multi-user varying access level

You can add users to your account, with different access levels. You decide what they can and cannot do.

Role-based permissions

Simplify the access level management of you users by creating roles with preset permissions. Once you have your roles setup, all you have to do is apply them to your users. This is the fastest way to control what your users can do and what they cannot do. Example Managers, Reservation agents, Rental agents etc.

Fleet management

Our system includes all your vehicle information and doesn’t depend on the size of your rental fleet. Additionally, you can also arrange your fleet in several vehicle groups (see below)

Vehicle grouping

Our vehicle-grouping feature allows you to organize your vehicles in different groups, to make it easier for your customers to choose what they want. For example, you could have a Standard Cars group and an Exotic Cars group. In addition to this, our system lets you add the same car into several groups.

CDW, SLI Insurance

You do not have to charge the same rate for insurance coverage on all your cars. Actually, you can even have different rates for every single vehicle class even by location, or you could have a generic price, and then a few overrides for specific-cases, it is all up to you.

Blackout management

For those times where demand grows out of control, you can place blackouts to prevent further reservation for certain vehicles at certain locations, to be submitted. The vehicle will still be displayed, with a sign letting your customers know exactly on which dates the blackout end, so they can change the vehicle, the dates, or both.

Advanced quote engine

Calculating rates, prorating season cut-offs, charging daily extras or drop-off fees, you name it. No matter what the complexity of your business rules are, our exclusive quoting engine is custom coded to calculate quotes exactly the same way you would and faster.

Calculated rates

Rather than calculating all of your prices manually and then manually enter them on the system, you can have the system do the entire math for you. For example, suppose your weekly rate is usually equal to the daily rate, multiplied by 5. You could just enter the daily rate for all your vehicles and then the system would automatically do the rest.

Calendar Day or 24 hour day

Now you have the choice to create calendar day or 24 hour day rate codes. In the control panel you can make multiple rates codes to make a quote or contract base on calendar day or 24 hour day.

Multiple rates

You can create multiple rates calculations for your customers, Corporate rates, Hotels rates, Travel agents, and website rates. Each rate can be filter by locations, vehicles, seasons, charges etc.

Auto-responders

Depending on the details of the reservation your customers submit, the auto-responders they receive can include in-context information like pick-up and drop-off directions, vehicle-specific instructions, or even seasonal greetings by locations.
Customizing your auto-responder messages by locations, allows you to include location-specific information to your e-mails, like where your customers need to wait for you to pick them up, different contact phone etc.
You could have vehicle-specific information included to your auto-responder as well, like for example, how to open the top on that convertible.
Our system sends also auto responders when a reservation is edit by the customer and when they cancel . I your website is made of diferent languages, your customers will received notification in that language.

One-way fees

When a vehicle is returned to a location other than the one it was picked-up from, you have the option of charging for a one-way fee. This fee can be tailored to any combination of pick-up and drop-ff locations. For example, suppose you have three locations, A B and C. You can setup different one-way fees between locations A and B; between locations B and C; and between locations A and C.

Optional extras

You can setup any number of optional extras for your vehicles, like a baby seat, a GPS, a DVD player unit, or whatever you might want to offer. Your customers will then be able to add these extras to their vehicle reservation on your website, and the quote will be recalculated accordingly.

Taxes

Depending on where your vehicles are picked-up, you might need to charge different taxes depending on location. Our system lets you do this, allowing for sales taxes, airport taxes, and so forth.

Insurance management

Know exactly which units are insured and which are not. Our exclusive insurance management module makes adding and removing vehicles from your insurance policy a snap. Just select the units you want to add or remove. Print the report. Presto! Additionally, there is a full history support, so you can go back and review all previous reports.

Branded e-mail accounts

Look professional by using an e-mail address branded with your own domain name. Our world class e-mail hosting is not only fast and reliable, but also includes a fast and intuitive web mail interface. Anti-virus and anti-spam protections comes built-in.

Fixed and calculated amounts

You can use either fixed or calculated amounts in all fees, which gives you the flexibility of choosing to charge a specific amount when you need to, or let the system do the work and calculate it automatically. Daily rates, weekly rates, pick-up and drop-off fees, airport taxes, etc., can all use these two pricing schemes.

Affiliate support

Offer your vehicles in other websites, besides your own, so you can reach more customers. You will receive additional reservations from other companies.

Support for travel agencies

Car Rental agencies and travel agents will each have their own control panel login.The car rental agency will create a rate package code that includes, vehicles, rates, taxes, fees, extras, and at which locations they will be offered to, and which rate code and Voucher type will be offered to the travel agencies. In the Travel Agency control panel they are able to make a new reservation, change or cancel an existing reservation, view and print vouchers, and so on, and send automatically the reservation to the rental agency.

Reservations

You could see all your reservations right from the Control Panel, print or email them and also filter them using different criteria, like date, status, name, vehicle, locations rates etc. From the reservation you could edit and print a contract.

Quotes

With our system you could give a quick quote over the phone or at the counter, you may also e-mail or print the quote in just seconds. You may also edit and make a contract from the same quote or a reservation, to get an accurate calculation, in seconds.

Contracts

Forget about those impractical pre-filled forms that are always off. With our system you can print your rental agreement forms using plain paper, right from your computer, in seconds as many times as you like.

Reports

Print Pending , Confirmed, Canceled, Voided, Units available, and Units on rent reports, also Contracts open and closed, Sales reports, Rate reports, Unit Sales Report, Reservations reports, Payments received etc.

Promotions

You can advertise promotions on your website. Once your user enters a specific rate code, the system can show a discounted % at lower rate or just a promotion for specific car or weekend special. These discounts promotions can apply to specific locations, vehicles, with a specific dates etc.

Specials

Display on your Home page the vehicles you are running a special price on. It is very easy to make changes with our control panel.

Upgrade Options/Other Choices

For each vehicle selected by your customer the system gives the option to upgrade or downgrade. Also, you have the option to display a price difference or daily, weekly rate.

Custom Business Rules

Our system can be tailored to match your existing business rules. This means that every time you or your visitors make a quote, it will look just the same as if you did it. For example, if your company quotes a week for rentals over 5 days, you can have your website do this. Also, your website can display selective rates based on the duration of the rental, for example, an economy car costs $19 per day based on a 3-day minimum. If your customer chooses to rent for less than 3 days, the daily rate will increase.
